Processing of Personal Data

Purposes and Legal Basis for Processing

The personal data provided through the pre-registration form will be processed for the following purposes:

a) Management of the pre-registration

Collection and management of pre-registration requests, verification of eligibility requirements, communications relating to the membership process. Legal basis: performance of pre-contractual measures at the request of the data subject (Art. 6(1)(b) GDPR).

b) Statutory and membership obligations

Management of the membership relationship, sending of institutional communications, convening of assemblies and participation in the association's activities. Legal basis: performance of the membership agreement (Art. 6(1)(b)) and legitimate interests of the association (Art. 6(1)(f) GDPR).

c) Legal obligations

Compliance with the obligations laid down by the applicable legislation for voluntary organisations (ODV). Legal basis: compliance with a legal obligation (Art. 6(1)(c) GDPR).

Categories of Personal Data Processed

Within the scope of the above-mentioned purposes, the following personal data will be processed:

  • First name and last name
  • Place of birth
  • Residential address (country, municipality, street/square, postcode)
  • E-mail address
  • Phone number
  • Italian Tax Code (Codice Fiscale)

The requested data are necessary for the stated purposes. Failure to provide them will make it impossible to proceed with registration.

Processing Methods and Retention

Personal data will be processed mainly by electronic and digital means, with appropriate technical and organisational measures in place to ensure their security and to prevent unauthorised access, loss, destruction or disclosure.

Data will be retained for the entire duration of the membership relationship and, thereafter, for the period necessary to fulfil legal obligations and to assert or defend rights in judicial proceedings, in accordance with applicable limitation periods.

Data of individuals whose pre-registration is not completed will be deleted within 12 months of collection, unless otherwise required by law.

Data Recipients

Personal data may be disclosed exclusively to:

  • Members of the Board of Directors and statutory bodies of the association, within the limits of their respective competences;
  • Parties to whom disclosure is required by law (e.g. public authorities, the Italian Revenue Agency);
  • Providers of technical or IT services acting as data processors pursuant to Art. 28 GDPR, upon execution of a specific agreement.

Data will not be disclosed or transferred to third parties for commercial or profiling purposes.

Transfer of Data to Third Countries

Personal data will not be transferred to third countries outside the European Union or the European Economic Area, unless otherwise communicated by the Controller with the relevant safeguards provided for under the GDPR.

Rights of the Data Subject

As a data subject, you have the right to:

Consent to Processing

Where processing is based on the data subject's consent, such consent will be collected via a dedicated checkbox in the pre-registration form. Consent is optional but necessary for the specific purposes indicated; withholding consent does not affect processing purposes based on a different legal basis.

Updates to this Notice

This notice may be updated over time due to regulatory or organisational changes. Any amendments will be communicated to data subjects with adequate notice via the available contact details or by publication on the association's website.
